Privacy Policy

Effective May 7, 2026. This policy explains how VENTRIUS collects, uses, shares, and protects information in connection with the VENTRIUS platform and related services.

1. Scope

This Privacy Policy applies to the VENTRIUS web application, customer and subcontractor portals, hosted forms, communications, payment workflows, and related support services. It does not apply to third-party websites or services that are not controlled by VENTRIUS.

2. Information We Collect

We collect information that users, customers, employees, subcontractors, and business administrators provide directly to us, including names, business contact details, service addresses, billing information, account credentials, messages, documents, photos, signatures, and support requests.

We may also collect operational information created while using the platform, including work orders, estimates, invoices, payments, schedules, equipment records, job notes, time records, GPS or route-related service information when enabled by the customer organization, uploaded media, and audit logs.

We automatically collect technical information such as IP address, browser type, device identifiers, pages viewed, dates and times of access, session information, and diagnostic logs used to secure and operate the service.

3. How We Use Information

We use information to provide, secure, support, and improve VENTRIUS services; process transactions; manage customer accounts; dispatch and document field service work; send transactional communications; troubleshoot issues; prevent fraud or misuse; comply with legal obligations; and develop new or improved product features.

4. Customer Data

Organizations that use VENTRIUS control the business records they enter into the platform. VENTRIUS processes that customer data to provide the contracted service and as otherwise directed by the customer organization or required by law.

5. Payments

Payment card and bank account details may be collected through integrated payment processors. VENTRIUS does not intentionally store raw card numbers or bank account numbers on application servers. Payment processors may provide tokens, transaction identifiers, status details, and related billing metadata that allow authorized payment workflows to function.

6. Communications

VENTRIUS may send service-related emails, SMS messages, and other communications about account activity, estimates, invoices, scheduling, support, security, and product updates. Message and data rates may apply to SMS communications. Users may opt out of non-essential communications where required or supported, but transactional or security notices may still be sent.

7. Sharing Information

We may share information with service providers that help us operate the platform, including hosting, storage, email, SMS, payment processing, analytics, security, customer support, and integration providers. These providers are authorized to use information only as needed to provide services to VENTRIUS or our customers.

We may also share information when required by law, to protect rights and safety, to enforce agreements, in connection with a business transaction such as a merger or acquisition, or with a customer organization that administers the account associated with the data.

8. Cookies and Similar Technologies

VENTRIUS uses cookies and similar technologies for authentication, session management, security, user preferences, analytics, and product functionality. Disabling cookies may prevent parts of the platform from working correctly.

9. Data Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No system can be guaranteed to be completely secure, and users are responsible for protecting their credentials and limiting account access to authorized personnel.

10. Data Retention

We retain information for as long as needed to provide services, satisfy legal and accounting obligations, resolve disputes, maintain security, support backups and audit records, and enforce agreements. Retention periods may vary based on the type of information and the customer organization's configuration or instructions.

11. Your Choices and Rights

Depending on your location and relationship to VENTRIUS or a VENTRIUS customer, you may have rights to request access, correction, deletion, restriction, portability, or objection regarding certain personal information. If your information is controlled by an organization that uses VENTRIUS, we may direct your request to that organization.

12. Children's Privacy

VENTRIUS is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

13. International Use

Information may be processed in the United States and other locations where VENTRIUS or its service providers operate. By using the service, users understand that information may be transferred to and processed in these locations.

14. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date and provide notice where appropriate. Continued use of VENTRIUS after an updated policy becomes effective means the updated policy applies.
